Minutes of a Meeting held on - 5th March 2007 - 7p.m.
Present:
Margaret Waller: Pauline Hillberg: Ingrid Coles: Marlene Cockell: John Hicks: Brenda Harris: Rod Cresswell.

Business
Margaret welcomed to Marlene and Brenda on to the Committee.
New Venue: Emerson's Green Village Hall.
Committee agreed booking forms for the Hire of Emerson's Green Village Hall to be signed by Margaret for the October 07 and January 08 Productions.
Costings were agreed and Margaret will supply copies for all committee members
The Venue will serve beer, wine and soft drinks from their new bar area. We will be serving supper for the October 07 Production
Times have been changed due to problems with access to the hall. See rehearsal and performance schedule.
Chairs and tables will need to be moved from the small room between performances.
'Child Protection' must be in place before performance. (Alex is sorting this out).
As drink (i.e. wine beer etc.) is not allowed to be brought onto the premises now, it was questioned about raffle prizes. This will be checked.
Cheque Book
It was suggested having access to the cheque book when the treasurer was not available. Also to have three signatories on the account. Ingrid will attend to this.
Ingrid is sending the cheque for Hall hire to Wesley Memorial Church.
Insurance claim for ruined costumes etc. at Longwell Green.
Ingrid will telephone again to sort this out. it was suggested that photos of the water damaged articles be taken for proof if needed, and in case someone should remove them from under the stage before the claim is settled. Pauline said she would take the Photos

Pauline will organize a time with Alan and Madeline Bills to come and give us a talk and demonstration about stage make up.

Wesley Memorial Church Hall - 7p.m.

Correspondence: None
Last Minutes: Proposed by Pauline and Seconded by John as correct record. Carried.
Matters arising:
T Shirts: Marlene is sorting out the T shirts and can ask for a cheque as soon as she knows how much she needs.
Insurance Claim for the water damaged costumes: We are still waiting to hear further on this matter from Ingrid.
New Electric Piano:
Pauline showed the committee some leaflets of the electric piano and associated equipment that Rachel had looked at and has advised us to purchase. After some debate it was proposed by Margaret and seconded by Brenda that we do indeed purchase this equipment in the sum of £729.12 as soon as possible. Pauline will advise Rachel to go ahead with the purchase via the internet and will give her a cheque for this amount.
2008 Pantomime:
It was decided, with much pleasure; that Madeline and Alan Bills will be asked to direct their pantomime, ‘Sinbad'. No other pantomime submissions had been received by the committee.
May Production:
Who killed the Director & Scooby Doo & the Stinkin' Spectre: It was noted that both productions are coming along very well and will be ready for the 18th & 19th of May.
Marlene entered the meeting.
Child Protection:
To progress this item speedily it was decided that Alec and Ingrid should be asked to attend a meeting as soon as is possible, (16th April was suggested) to update the committee on how things are progressing. It was agreed that we must now get this sorted out without any undue delay.
AOB: Treasurer : Ingrid called Pauline and asked her to inform the committee that they may like to consider finding a new Treasurer as she is finding it increasingly difficult to attend committee meetings etc, due to pressures of work. After some debate it was decided that as the Treasurer is a very important position in the committee it would be best if a new Treasurer was found. It was proposed by Pauline and Seconded by Rod that John Hicks takes on the role of Treasurer and it's responsibilities. He accepted the position. It was also decided that we should have at least 3 signatories on the account and that John, Margaret and Pauline would be the 3 signatories, plus one extra.
Wesley Centenary Show - July 6th: Pauline advised the committee that she and Georgina are coming along nicely with the preparations for the show. It was decided that the tickets would be sold on the door only at £4.00 each.
Grants: As the time is fast approaching where we will be able to apply for new grants from various bodies, Pauline asked that we apply ourselves to thinking what items are needed for the club and to make those recommendations at the next meeting.
